Financial flow intelligence

Finance flows from here.

Fintray collects your supplier invoices, extracts the data, matches it against your orders and sends the validated data into your ERP. Your team steps in only for the cases that need a decision.

SOLUTIONS

One flow, two ways of working.

Every document, however it arrives, goes through the same stages. What differs is where it ends up.

FOR COMPANIES

Invoices go into the ERP, checked against the order.

  • Invoices matched to orders, line by line
  • Employees' receipts, claimed from the phone
  • Export for your accountant, to Saga or WinMentor
The solution for companies →
FOR ACCOUNTING FIRMS

All your clients, in a single account.

  • Each client's SPV, downloaded by itself
  • Foreign invoices and fiscal receipts, read
  • Export to Saga or WinMentor, for each client

THE FINTRAY PLATFORM

Every document follows the same flow, however it reaches you.

Fintray connects your financial documents to the systems you run your company with. It reads, classifies, matches, explains and passes on confirmed data.

PDF, XLS and DOC documents coming into Fintray and going out to the ERP, the cloud, the bank and the company's other systems
  1. 01

    It arrives through four channels

The mailbox dedicated to supplier invoices, RO e-Factura, an upload from the app, or the API. A document behaves the same however it got here.

  2. 02

Read and linked to your operations

Fintray identifies the supplier in your own partner list, reads every line, and matches it to the order being billed or to the right expense account.

  3. 03

This is where the path forks

Automatically validated documents move on, together with the rule that was applied. Unclear cases go to review, the only point where your team steps in.

  4. 04

It reaches the systems you work in

The data lands in your ERP, in the export for accounting, in the registers and in the audit history, with the decision trail kept beside the record.

Every document goes through five stages. A sixth measures what works.

01 · CAPTURE

Everything lands here

Email, e-invoicing, upload, API. One inbox instead of five places to look.

02 · UNDERSTAND

It reads lines, not just totals

Supplier identified against your own partner list. Quantities, unit prices, VAT rates, article codes.

03 · MATCH

It links it to your operations

To the purchase order it bills against, or to the right ledger account.

04 · REVIEW

Only exceptions reach you

With what the decision was based on, in one screen, ready to confirm or correct.

05 · CONNECT

Clean data goes where you work

Registered in your ERP, exported for your accountant, filed in your registers.

ACROSS ALL FIVE Indicators: see what was automated, what needed a person, and why. From the data, not from assumptions.

THE TAX PROFILE

Eight questions your team answers by hand on every foreign invoice. Fintray answers all eight and shows its work.

Zone, nature, reverse charge, rate, D390 code, VIES validity on the invoice date, foreign VAT charged by mistake, and the exchange rate for the right day.

1

42 rules kept in a table.
Not buried in code. Your accountant can read the whole table, and disagree with a row.

2

Every answer names its rule.
Each conclusion carries the rule that produced it and a sentence explaining why.

3

No invented answers.
If VIES or the exchange-rate service can't be reached, Fintray marks the information “not verified”, never “invalid”.

4

A proposal, not a final decision.
Fintray gives no tax advice. Cases the rules cannot settle go to human review.

MATCHING

Two types of invoice. Fintray tells them apart automatically.

The decision is taken per document, not for the whole supplier or channel. When you correct it, the correction is kept.

INVOICES LINKED TO AN ORDER

Matched to the order, then line by line.

The right article, the quantity received, the price agreed.

LINE ORDERED INVOICED
PP copolymer resin 8,40 8,40 ok
White pigment concentrate 22,10 22,10 ok
Pallet, single-use 31,00 37,20 +20%

Two lines confirm themselves. The third is the only reason a person is looking at this document at all.

INVOICES WITH NO LINKED ORDER

Transport, utilities, maintenance, subscriptions.

No order to match, so the lines go to the right ledger account, and the rule you confirm once is reused for that supplier.

DUPLICATES

Copies of the same invoice, spotted before they are registered.

Two copies of one document, handled by two people a week apart, stop at the same place.

RECEIPTS & EXPENSE REPORTS

Fiscal receipts too, straight from the phone.

Employees take a photo of the receipt on the spot. Fintray reads it, puts it in an expense report and sends it to the accountant, already added up.

Nobody types in receipts any more. The shop, the products, the amount and the VAT are read from the photo.

VAT recovered wherever it can be. The employee sees on the spot whether the receipt carries the company's tax ID.

The report, ready to approve. With the advance worked out and the accounting note already drawn up.

CONTROL

Automation is credible only when you can inspect the decision behind it.

Fintray handles the flow. You stay in control.

01

Nothing is confirmed when uncertain

Every stage has a state meaning “waiting for a person”.

02

Every decision shows its reasoning

Which order was chosen and why, which candidates lost, which rule fired. Not just a score.

03

Rejection asks why

The one destructive action takes a reason from a fixed list, and confirms before acting.

04

An unedited trail

Every extraction outcome is appended to a log that is never rewritten.

A document posted to the ERP, with its stages and the basis of every decision
A document registered in the ERP: the five stages, the matching score, which invoice line was tied to which ERP article, and which line a person confirmed rather than a rule.

REGISTERS

Every invoice, kept for as long as you need it.

Documents in the SPV are available for a limited time. Keep them archived for as long as your legal obligations and internal procedures require. Received, issued and partners, with one search box across all three.

Invoice analysis: purchased and invoiced over the period, with payables and receivables coming due

CONNECT

Keep the systems you use. Fintray connects to them, it doesn't replace them.

You start simply, and the reviewed data carries on into the system or the format your team already works in.

01 · YOUR ERP

Three ways to connect, including none at first

A direct database integration, a documented API for your provider, or a file exchange for an ERP with no interface. If you have no ERP, Fintray includes a core ERP module, so order matching still works.

02 · YOUR ACCOUNTANT

A month, in the format they already import

Export the documents from a screen built for closing a month rather than reviewing a scanned document. Exports compatible with Saga and WinMentor from the start, with the original document alongside each record.

03 · E-INVOICING

Both directions, and a trail

Fintray connects to national e-invoicing both ways, and shows what was taken from ANAF and when. Registers and audit in one place.

GETTING STARTED

Four steps and a month of testing in parallel, without changing your current process.

  1. 01 A quick install, with no software on each workstation. For now nothing changes in how the team works.
  2. 02 The mailbox first. A guided step. Documents start arriving the same day.
  3. 03 Connect it to your ERP. Or start without one and switch later; nothing waits for the integration.
  4. 04 Run the two processes in parallel for one month. At month end, compare Fintray's results against the records your team entered by hand.

Testing in parallel gives you certainty: nothing is switched off, and the decision to continue is made against your own documents.

Frequently asked questions before the demo

If your question isn't here, write to us: we answer with what the product does today, not what it might do one day.

What happens when Fintray isn't sure?

Every stage has a state that means “waiting for a person”. A low-confidence read never becomes a posted document on its own, and the queue is built around draining those cases.

Who is responsible for the tax treatment?

You and your accountant. Fintray gives no tax advice: it proposes a treatment, names the rule behind it, and sends to review the cases the rules cannot settle.

Do we have to change our ERP?

No. Direct integration, a published web contract, or a file exchange, whichever your ERP allows. If the link goes down, reading and checking carry on.

What can we see afterwards?

Which order was chosen and why, which candidates lost, which rule fired, who confirmed it and when. Every extraction outcome is appended to a log that is never rewritten.

Where does it run, and who else touches the data?

Fintray can run on our infrastructure in the European Union or on your own server, so that documents stay inside your network. Your documents are not used to train any model.

How do we start without risk?

One month in parallel. Your team keeps working exactly as today, nothing depends on the new system, and the decision to continue is made against your own documents.

We work for many clients. Do we need an account for each?

No. In a single account you see all your clients, and the Clients list shows what is left to do for each. A new client is added by tax ID, and each colleague sees only the companies you give them.

How do our clients' invoices reach us from the SPV?

With your own certificate and the authorisations you already hold at ANAF. You connect once, and Fintray downloads each client's received and issued invoices.
